ACADEMY FACTS & GENERAL INFORMATION


 

Academy Dates and Times:
After receiving your enrollment, groups will be assigned one of these days to participate:

  • Tuesday, September 16, 2008
  • Wednesday, September 17, 2008
  • Thursday, September 18, 2008

Gate opens at 8 a.m. for schools on these days.  Groups will be assigned an arrival time.

Admission and Gate Tickets:

  • All students and teachers and one adult chaperone for every 4 kids will be admitted Free on the day of their field trip.  Special tickets/passes will be provided and will be mailed to the designated Group Leader/Contact for each registered group who has submitted a Confirmation Form.
  • All additional chaperones will be required to purchase a gate admission ticket. These can be purchased prior to coming, at the gate or by special arrangements with OSF (see below).
  • It is the responsibility of each group’s leader(s) to allocate the tickets to the appropriate people within their group.  Tickets must be presented at the time of your arrival. 

Field Trip Parking:

  • Free parking will be provided for all buses and four cars for each CLASS registered.  Please be sure to register by classroom/teacher to receive full benefits.
  • Parking passes will be sent along with gate admission tickets to the Group Leader of all registered groups.
  • Buses and cars with State Fair Academy special parking passes MUST park in the specified parking area designated for State Fair Academy groups.  (See Acadaemy Map). Your passes will not be accepted at any other gate/parking area.  Parking passes must be displayed at the time the vehicle enters the gates to be admitted. 
  • Additional cars (without special parking passes) have the choice of either paying $5 to park next to the school buses or park free in one of the other (free) parking areas.(See Acadaemy Map).
  • Parking passes for the additional cars can be purchased at the gate or by special arrangements with OSF (see below)

Special Arrangements for Additional Tickets and Parking:
As a courtesy to schools attending the 2008 State Fair Academy, Oklahoma State Fair, Inc. has made special arrangements to allow the school groups to purchase any required additional admission tickets and/or parking passes at the time they send in their Confirmation Form

  • Admission tickets purchased this way will cost the discounted amount of $7.  Parking passes are $5 each.
  • Schools MUST pre-pay.
  • Payment must accompany the Confirmation Form and must be received by August 29, 2008.
  • Schools may pay by check or P.O.
  • There will be no refunds on prepaid tickets/passes.

Acquiring tickets and parking passes by this method is OPTIONAL.  Schools may also purchase them on their own using the methods listed above.

Clothing:
While not required, it is highly recommended that each group wear matching shirts or other means of identification.  This is not only helpful for you; it also helps us if we need to find you during your trip.

While most of the demos are indoors, some of the activities, including Orientation and Centennial Frontier Experience are outdoors.  Please keep this in mind when dressing for the day.

Lunch:
Food vendors are located throughout the Fair Park.
Groups are also welcome to bring sack lunches. 
There are two locations with picnic tables available to choose from to eat your lunch:

  • The grassy area east of the Bandshell & north of Sea Lion Splash
  • The grassy area next to the Orientation Bleachers.  This is also where you will be able to store your lunches while you are on your Field Trip.
  • In the event of rain, you can duck into the Sales Pavilion (Barn 3). 

Instructions for groups bringing sack lunches:

  • Each group must provide their own coolers/boxes to hold their lunches.
  • The coolers/boxes should be clearly marked with the name of the school and/or class for identification.
  • No ice will be provided, so please do not bring items that can spoil.
  • Upon arrival, the groups will bring their lunches to the Lunch Tent provided next to the Orientation Bleachers.  The lunches will be stored here until the groups return to get them for lunch.  An OSF representative will be at the tent to watch the lunches.
  • Each group is responsible for bringing their lunches from the buses to the Lunch Tent.

Drinks
Participants are NOT allowed to enter the Fair gates carrying drinks or food items.  If you bring drinks for the students they MUST be contained in your lunch cooler/boxes to be admitted onto the grounds.

Water fountains are located around the Fair Grounds in the following locations:
Hobby Arts & Crafts Building; Oklahoma Expo Hall/AGtropolis Building; Horse Barns 1,2,3,6; and Bandshell Restrooms.  Most are located near restrooms.

Orientation:
The first stop for all groups will be Orientation.  Every group needs to attend the Orientation session to receive directions, instructions and their Scavenger Hunt Materials.

Orientation will be held every 30 minutes between 8:30 am and 11:00 am.  The session will be about 15 minutes long.  Once you have dropped off your lunches, please gather your group together and proceed to the Orientation bleachers.  If there is a session in progress, please wait until it is over before entering the bleachers.

Orientation sessions will be held at:  8:30, 9:00, 9:30, 10:00, 10:30, and 11:00 a.m. each day of the Field Trips.

The Orientation bleachers are located at the Pig Races.  (See Academy Map)

Restrooms:
Restrooms are located in most of the buildings and barns.
Please refer to the Academy Map for their locations.

Check-in:
1. Upon arrival:

  • Get your personal items, maps and any items you plan to bring with you together.
  • Make sure everyone has a gate ticket/pass.
  • Get the lunches/drinks together and make sure they are marked with your identification.
  • Get a head-count of the number of students attending.
  • Send the designated group leader ahead of the group to the Check-in Tent.
  • The rest of the group can proceed to Gate 9.

Please make sure your entire group is together before you proceed to the Check-in Tent.

2. Proceed to Check-In:

  • The Tent will be clearly marked and located just outside the Fair entrance at Gate 9.
  • The group leader should take the head-count number and go to the Check-in Tent.
  • The rest of the group will proceed to Gate 9 to enter the Fair.  Please make sure everyone has his/her ticket/pass in hand.
  • Once inside the gate, the group can step aside to wait for the group leader(s).  From there, proceed to the Lunch Tent to drop off lunches (if any) and then to the first stop – Orientation. (Orientation is located next to the Lunch Tent).
